Data Protection Policy

Pegasus International Preschool is committed to protecting the personal data of the children in our care, their parents and guardians, and everyone who interacts with us. This policy explains how we collect, use, disclose and safeguard personal data in accordance with Singapore’s Personal Data Protection Act 2012.

1. Introduction

This Data Protection Policy sets out how Pegasus International Preschool (“Pegasus”, “we”, “us” or “our”) manages personal data in compliance with the Personal Data Protection Act 2012 (Act No. 26 of 2012) of Singapore (the “PDPA”). It applies to the personal data of children enrolled at or applying to our preschool, their parents and guardians, our employees and job applicants, and visitors to our website and premises.

By enrolling a child with us, engaging our services, submitting an enquiry or tour request, applying for employment, or otherwise interacting with us, you acknowledge that you have read and understood this policy and consent to the collection, use and disclosure of personal data as described here. If you do not agree, please do not provide personal data to us.

We may update this policy from time to time to reflect changes in our practices or in the law. The latest version will always be available on this page.

2. What Personal Data We Collect

“Personal data” means data, whether true or not, about an individual who can be identified from that data, or from that data and other information to which we have or are likely to have access. Because we care for young children, much of the personal data we hold relates to children and is provided to us by their parents or guardians. This may include:

  • About the child — full name, date of birth, nationality and identification details, birth certificate number, home address, photographs and videos, health, dietary, allergy and medical information, immunisation records, and developmental, behavioural and learning records.
  • About the parent or guardian — full name, NRIC/FIN/passport number, home and mailing address, telephone numbers, email address, occupation and employer, relationship to the child, marital and family details relevant to care arrangements, and payment or billing information.
  • About enrolment and care — emergency contacts and authorised pick-up persons, subsidy and financial-assistance information, and correspondence between you and the preschool.

You may choose not to provide certain personal data, but this may prevent us from processing an enrolment, providing appropriate care, or responding to your request.

3. How We Collect Personal Data

We collect personal data in a number of ways, including when you:

  • submit an enquiry, book a school tour, or complete an enrolment, registration or consent form;
  • interact with our staff in person, by telephone, by email or via messaging services;
  • visit or submit a form on our website;
  • attend our premises or events, where closed-circuit television (CCTV) may operate and photographs or videos may be taken;
  • are referred to us by an existing family or a third party; or
  • apply for a position with us.

Where you provide us with personal data about another individual (for example, your child, a family member or an emergency contact), you confirm that you are authorised to do so and that the individual consents to our collection, use and disclosure of their personal data in accordance with this policy.

4. Purposes for Which We Use Personal Data

We collect, use and disclose personal data for purposes reasonable and appropriate in the circumstances, including to:

  • assess and process enrolment applications and manage a child’s placement and care;
  • provide, administer and improve our preschool programmes and services;
  • attend to the health, safety, dietary and developmental needs of the children in our care;
  • communicate with parents and guardians about their child, school activities, updates and events;
  • administer fees, subsidies, invoicing and payments;
  • comply with legal, regulatory and licensing requirements; and
  • maintain the safety and security of our premises.

If you are a parent or guardian

We use your personal data to carry out our enrolment agreement with you, to keep you informed about your child, to respond to your enquiries and requests, and to send you relevant school communications.

If you are an employee

We use your personal data to manage the employment relationship, including payroll, benefits, training, performance and statutory obligations.

If you are a job applicant

We use your personal data to assess your suitability for the role you have applied for and, where relevant, to conduct reference and background checks.

5. Disclosure of Personal Data

We do not sell personal data. We may disclose personal data, where necessary and permitted by law, to:

  • service providers and contractors who support our operations (for example, IT, payment, insurance and professional advisers), under obligations of confidentiality;
  • government agencies and regulators, including the Early Childhood Development Agency (ECDA) and the Ministry of Education (MOE), where required for licensing, subsidies or compliance;
  • healthcare or emergency personnel where necessary to protect the health or safety of a child; and
  • our professional advisers where reasonably required.

6. Retention of Personal Data

We retain personal data only for as long as it is necessary to fulfil the purposes for which it was collected, or as required or permitted by applicable laws and regulations. When personal data is no longer needed, we will take reasonable steps to securely destroy or anonymise it.

7. Cookies and Website Data

Our website may use cookies and similar technologies to remember your language preference and to help us understand how the site is used so we can improve it. You can adjust your browser settings to refuse cookies, though some parts of the website may not function as intended.

8. Protection of Personal Data

We make reasonable security arrangements to protect personal data in our possession or control against unauthorised access, collection, use, disclosure, copying, modification, disposal or similar risks. These include physical, administrative and technical safeguards appropriate to the sensitivity of the data. However, no method of transmission or storage is completely secure, and we cannot guarantee absolute security.

9. Third-Party Links

Our website may contain links to third-party websites. This policy does not apply to those websites, and we are not responsible for their privacy practices. We encourage you to review the privacy policy of any third-party website you visit.

10. Withdrawal of Consent and Your Rights

Subject to legal and contractual restrictions, you may request access to, or correction of, the personal data we hold about you or your child, or withdraw your consent to our continued use and disclosure of it, by contacting our Data Protection Officer. Please note that withdrawing consent may affect our ability to provide care or services to your child, and we will inform you of the likely consequences before giving effect to your request. We may charge a reasonable fee to process an access request.

12. Governing Law

This policy is governed by and construed in accordance with the laws of Singapore, including the Personal Data Protection Act 2012. In the event of any inconsistency between this policy and the PDPA, the PDPA shall prevail.
